Our terms and conditions form the basis of a legally binding contract between parents and KEY academy for the provision of educational services. These terms and conditions are intended topromote the education and welfare of children and the stability, forward-planning, proper resourcingand development of KEY academy. These terms and conditions may be subject to change from timeto time, and any major changes will be communicated in a clear and timely fashion with all parentsand/or guardians.
We currently have 5 learning groups at KEY academy:
- Bees (18 months - 3 years old)
- Seeds (3 - 5 years old)
- Roots (5 - 7 years old)
- Buds (7 - 9 years old)
- Shoots (9 - 11 years old)
Enrolment
Applicants will be considered as candidates for enrolment to KEY academy once they havecompleted payment for the first term, have completed a one week (minimum) trial and it is mutuallyagreed by the family and KEY academy that the school is suitable for the child. In order to enrol intothe Bees learning group, a child should be 18 months old on the day of enrolment. In order to enrolinto the Seeds, Roots, Buds, Shoots and subsequent learning groups, a child should be the respectivestarting age for the learning group by the 31st August. All required information will need to becollected via the online application form and via email (documents to be submitted) before anapplicant is considered as a candidate for enrolment. Enrolment will be subject to the availability of aplace at KEY academy and the child and parents satisfying the enrolment requirements at therelevant time. Enrolment occurs when the parents accept the offer of a place. Entry occurs on thedate when the student attends KEY academy for the first time under these terms and conditions.
Learning fees
Learning fees are fixed and cannot be prorated. Full fees apply to students joining before or after the half term break. For existing students, fees are due 7 days after the end of the previous term. Fornewly enrolled students, fees must be paid within the timeframe given in their enrolment offer. Please note, fees are non refundable. In the rare event that a child is asked to leave KEY academy, anyremaining fees for that term will be refunded.
Early bird discount
For existing students, we offer an early bird discount of just over 5% of the learning fees. To beeligible for this discount, learning fees must be paid in full no later than the last day of the previous term.
Registration fee
A registration fee of N1,000,000 per child is required for enrolment at KEY academy. This fee is a nonrefundable charge, payable upon acceptance of an enrolment offer.
Other fees
Payments for KEY academy trips and extra-curricular activities are invoiced separately. Learningfees do not include; transportation, trips or visits, food, additional teaching materials for individual useof the student (for example, for individual projects), any ‘after’/’before’ school activities offered whichare optional and require specific hiring.
Hours of operation
Students will attend KEY academy five days per week, Monday to Friday, from 8:15am - 3:00pm(Buds, Shoots), 8:15am - 2:00pm (Seeds, Roots), or 8:45am - 1:30pm (Bees) during the designatedterm times.
After school clubs
After school clubs consist of a series of activities that take place after school and are facilitated byexternal providers. The activities develop skills that we don’t necessarily have the expertise todevelop in-house. There is a cost for after school clubs per child, per term and there is limitedavailability for each activity. Payments need to be made a term in advance for each activity. Afterschool club takes place Monday to Friday after school hours and each activity will last between 1hour - 1.5 hours. After school clubs are optional for parents and will not form part of our schoolday/learning programme.
Late pick-up fee
Children not attending After School Club should be picked up promptly at 1:30pm (Bees), 2:00pm(Seeds, Roots) or 3:00pm (Buds, Shoots). We will give a 15-minute grace period for thoseparents/carers who are running late for pick-up. However, a late pick-up fee of N4,000 is payable foreach 15 minutes your child(ren) remains in the school after 1:45pm (Bees), 2:15pm (Seeds, Roots), or3:15pm (Buds, Shoots) due to the operational and staffing costs incurred when a parent/carer is late. For example, if you arrive to pick up your child at 2:45pm, you will be charged a late pick-up fee of N16,000 (Bees) or N8,000 (Seeds, Roots). The same also applies for children picked up after the 15 minutes grace period following the end of their After School Club.
Parent involvement
We celebrate the creation and development of a parent and family community to support thegrowth of KEY academy.
Special Educational Needs (SEN)
Parents are responsible for notifying KEY academy of any Special Educational Needs (SEN), learningdifferences and/or delays and behavioural issues during the application process - before a child isoffered a place at KEY academy. KEY academy currently does not have the expertise in-house tosupport children with Special Educational Needs, severe learning differences and/or delays or serious behavioural issues and therefore we are currently unable to enrol children with Special Educational Needs, severe learning differences and/or delays or serious behavioural issues.
Termination of contract
KEY academy reserves the right to terminate an arrangement if, in the opinion of the Educational Team or the Board of Trustees, we are unable to meet the educational, physical or social/emotional needs of the child or family concerned. This includes situations where children have been identified as requiring special educational needs that the school cannot support or if parents may haveexpectations of KEY academy which we cannot meet. Students may be asked to withdraw from KEY academy when their conduct is not compatible with the established policies and expectations. This process would be done in open communication with the parents concerned and conducted in linewith our policies and procedures.
Withdrawal and notice periods
Notice must be given in writing to the school a full term ahead of the date that you wish to withdrawyour child(ren) from KEY academy. If you do not provide this amount of notice then you will be liable to pay the full learning fees for the following term. This applies from your child’s first term once they join KEY academy.
How to make a payment
All learning fees must be paid in advance. We use the Schoolable school management platform to manage the payment process of learning fees. Parents will receive an invoice for learning fees, viaemail, before the start of a new term. The invoice is generated by Schoolable and includes unique payment details - each family is provided with their own bank account details to pay learning fees using various payment options (online transfers, debit/credit cards or bank deposits). Learning feesshould not be paid directly into the school bank account.
Missed days
Refunds or part refunds for learning fees will not be given if your child misses school due to unforeseen circumstances, including but not limited to illness and unexpected travel plans.
Public holidays and government declared/advised holidays
KEY academy will be closed on all public holidays and government declared/advised holidays.
Learning fee changes
We reserve the right to adjust our learning fees at the start of any new term. Notice of at least oneterm will be given if fees are adjusted.
Cashless policy
We operate a cashless policy at KEY academy. Therefore, all payments must be made via bank transfer into our bank account or by depositing into a bank branch. Unfortunately, we are unable toaccept any physical cash payments at the school.
Toys from home
In the past, we have tried really hard to accommodate children bringing their favourite toys toschool, however, this became difficult to manage in the learning space and led to a fewchallenges especially during drop-off and pick-up in the reception. Therefore, children can no longer bring their toys into school. Please encourage your little ones to leave their toys at homeor in the car before they get to school. There are plenty of toys in the learning space for them toplay and share with their friends.
Professional boundaries and relationships
To maintain the integrity and professionalism of our educational organisation, it is required thatno personal or extracurricular relationships, activities, tutoring, or similar arrangements occurbetween parents of enrolled children at KEY academy and employees of KEY academy, that areexclusive of or outside of the school. All interactions between parents and employees should belimited to the school setting and activities directly related to the students’ education at KEYacademy. This policy helps to ensure that all relationships and communications remainprofessional, transparent, and focused on the educational development of students at KEYacademy.
Photography
As we navigate the ever-changing landscape of social media and the internet, we want to proceedcarefully with the way we use photography at KEY academy. We take the privacy of children veryseriously and will not use images for marketing purposes where a child’s full face can be seen andwe will not identify any children by name. This is important to us, as we do not believe that childrenfully understand and therefore are able to give informed consent regarding the use of their personalinformation. We ask that you respect the privacy of other children and only share images of otherchildren if you have their parent’s consent.
